Assistant Site Manager

Summary:

Under the direct supervision of the Site Manager or the Deputy Site Manager, the Assistant Site Manager plans, directs, and coordinates the daily activities of one of the following departments: Mail Room, Data Entry, or File Room, to support overall contract operations of a large Government Facility charged with the processing of immigrant petitions and applications. The Assistant Site Manager plans and establishes procedures and methods to meet changing processing requirements as well as assists in the preparation of plans to ensure that the Facility recruits and retains a sufficient personnel and inventories to meet workload requirements.  The Assistant Site Manager is responsible to resolve all administrative, personnel, and operating issues associated with management of processing functions in order to assure timely processing of immigrant petitions and applications. 

Specific duties are as follows:

? Responsible for hiring, reviewing, and termination of contract Supervisors and employees
? Train subordinate Supervisors in work procedures, regulations, and other immigration issues
? Ensure that all subordinate Supervisors are informed of changes in law, regulations, policy, and procedures affecting their work and that such changes are understood and implemented
? Develop work assignments and reviews work of team members
? Responsive to employee issues and helps to build team morale and cohesiveness
? Review production and backlog reports and suggest/enact changes to ensure workload requirements are being met
? Assure that sufficient inventory of department supplies are on hand to meet current and anticipated demand
? Effect smooth transition of work between various processing sections
? Effectively communicate with other Assistant Site Managers and take initiative in addressing workflow problems, procedure revisions, and personnel issues
? Evaluate and audit employee production for quality and quantity
? Facilitate quality improvement programs and ensures customer service levels are met or exceeded
? Verify adherence to all DHS/USCIS security regulations
? Compile and develop management reports on performance and trends in production utilizing PC skills
? Responsible for keeping Site Manager and Deputy Site Manager informed of processing issues and operations concerns

 

Requirements:

High School diploma (or equivalent) and a minimum of 3 years demonstrated experience managing/supervising 10+ employees in a production environment required.

Additional Requirements:

? Demonstrated customer service experience or experience interacting with employees at all levels (entry level to senior management) on a daily basis
? Prior experience managing/supervising a seasonal/temporary work force
? Demonstrated ability to communicate effectively, both orally and in writing
? Ability to obtain and maintain minimum of a SECRET security clearance; US citizenship required
? Ability to pass a detailed background check including social security verification, education verification, and criminal background investigation

 

Desired Knowledge and Skills:

? Bachelor?s degree
? Prior experience and/or certifications with relevant management and quality disciplines, including Six Sigma, ISO, etc.
? Prior experience in application and benefits processing environments, such as customer service, insurance, financial, or other high volume mail handling a plus
