Office Manager - American Red Cross - Long Beach, CA

Position Summary:

 

Under the general supervision of the Chapter Executive Officer, this position provides a variety of support services and a wide range of administrative duties.  Manages purchasing activities, personnel records and building maintenance. Demonstrates excellent customer relations skills, knowledge of office systems,  procedures and computers.  Exercises judgment, discretion and confidentiality.

 

Position Responsibilities:

 Functions as support staff for CEO, prepares routine correspondence, schedules and supports meetings. Coordinates communication with Board of Directors and serves as staff support to them as appropriate.  Drafts minutes of meetings of the Board and board level committees as appropriate. Maintains critical records for Chapter, including but not limited to, Board of Directors and committee meeting minutes, contracts and reports. Maintains all personnel files and ensures compliance with related legal requirements. Maintains facilities and grounds.  Evaluates, recommends and coordinates both major and minor repairs.  Maintains appropriate safety and office/building inspection logs as required.  Interfaces with contractors and vendors on quotations and contracts.  Coordinates outside custodial services as appropriate. Provides for safety and security of building, equipment and staff.  Maintains security and fire alarm systems, conducts emergency drills and issues and monitors building access. Provides day to day support for minor issues related to Information Technology and acts as primary interface with outside support contractor. Manages office equipment and related purchases and leases. Provides oversite for contracted custodial services. Maintains and controls office supply inventory. Maintains and coordinates a master calendar for facility meeting rooms, classroom scheduling and classroom use.

 

Qualifications:

 AA degree desired or equivalent work experience. Three years plus as office manager with similar responsibilities. Expert knowledge of Microsoft Word and Microsoft Outlook. Competence in Microsoft Excel. Demonstrable ability to develop routine correspondence and accurately compile minutes of meetings. Excellent organizational and interpersonal skills. Ability to manage multiple responsibilities with changing priorities.

 

 

Other:

 Must have the flexibility to be available and on-call in case of an emergency situation involving the Chapter facility, or an emergency/disaster in the community requiring unusual access/use of the facility.
