JOB TITLE: Sales Administrator

 

 

POSITION PURPOSE:

 

To effectively promote and maintain customer relationships and good will in the area of product service. This function includes expediting deliveries, entering warranty obligations, forwarding complaints, quoting and processing parts repairs, maintaining the spare parts price file, part pricing, and other order entry functions.

 

  DUTIES AND RESPONSIBILITIES

 

? Prepare quotations for components and communicate such quotations to customer via telephone, fax and e-mail.

? Work with materials and production departments to expedite shipments and improve lead times.

? Processing domestic and international orders/RGA?s on a daily basis.

? Determine independently or with technical help the correct part required for a customer?s machine.

? Work with accounts receivable on collection problems.

? Follow up on order shipping and delivery commitments and apprise customer of delivery dates, delays or other such conditions that may be involved.

? Prepare shipping documents for foreign and required domestic shipments.

? Maintain purchase history for major purchases.

? Maintain non-standard parts master file in Excel.

? All clerical work associated with position.

? Update and maintain customer master file and pricing information in Jobscope.

? Responsible for the uniform application of specific policies and procedures, as identified in the Export Compliance Manual, relative to phases of export licensing and other international transactions conducted by Vacuum Coating Technologies.

 

POSITION SPECIFICATIONS:

 

Minimum High School graduate plus 5 years experience in sales administration.  Additional college education may be substituted for experience.

 

Required written and verbal communication skills, and the ability to work with both internal and external customers. Excellent customer-support skills required.

 

General clerical skills to support order entry, sales, and customer-support functions.

 

Experience with shipment processing.  International experience a plus.
